How to Buy Auto Parts for Your Company: A 6-Step Buyer's Checklist

If you're the office administrator who gets handed a sticky note that just says "we need parts," this checklist is for you.

I manage purchasing for a 130-person manufacturing company — roughly 60 to 80 orders a year, mostly vehicle parts and maintenance supplies. When I took over in 2020, I ordered parts the same way I order anything online: search, click, done. That worked until it really didn't. This is the step I started doing after a 2023 order of "Moog" wheel bearings arrived with printed labels and no serial numbers. A genuine wheel bearing has consistent markings, proper packaging, and a warranty card. If the price is way below everyone else's, it's not a deal. It's a red flag.

Buy through authorized distributors. Ask for warranty documentation before you pay. That's genuinely all it takes.

Step 3: Compare total cost, not unit price

Step 5: Always start with a small test order

I used to feel awkward asking for small quantities. Now I feel more awkward explaining to my manager why we spent $2,000 on parts with the wrong spec.

So every time I work with a new supplier, I place a small order first — one strut, not a full set. A good supplier will accept that, even if their standard minimum order is higher, as long as you're clear that a bigger order will follow.

It's not really about the money. It's about testing the relationship. Small doesn't mean unimportant — it means potential. It took me three years and roughly 150 orders to learn that. The vendor who treated my $250 test order like a real customer is the one who got our $12,000 annual contract two years later.

Step 6: Document everything

Boring, but non-negotiable. I keep a spreadsheet with columns for order date, part number, brand, unit price, total cost, expected delivery, and warranty expiration.

Last year a supplier promised a 14-month warranty, then told me they couldn't find the transaction when I filed a claim. My spreadsheet had the order date and invoice number, and the claim was approved in two days. It also helped me recover a $480 refund that the supplier's accounting team had "forgotten." And at the end of the year, that same spreadsheet makes finance questions a lot easier to answer.

Common Mistakes I Still See

Ordering by vehicle model instead of part number. "It's for a 2022 Transit" means nothing to a supplier. The KONI special active front strut has different versions depending on the build. Always reference the exact part number.

Ignoring specific complaints in reviews. If you're reading a Moog wheel bearing review and several people report failure within a year, the problem isn't the brand. It's the part source.

Not confirming the return policy before ordering. Sensors and electronic components are often non-returnable once installed. Find that out before you buy, not after.

Bottom Line

The process is basically always the same: get the part number, verify the brand, calculate the total cost, check credentials, start small, and document everything. It'll take you an extra half hour per order at first. Once you're used to it, it's basically automatic.

And if a supplier treats your first small order with respect, keep them close. That's worth more than a 5% discount from someone who makes you feel like an inconvenience.
